A remote executive assistant for law firm partners

What a dedicated remote executive assistant does for law firm partners: calendars around court dates, intake scheduling, billing reminders and ethics guardrails.

What does this role do?

A remote executive assistant for a law firm partner manages the partner's calendar around hearings and depositions, schedules client intakes, keeps contacts and matters current in the practice-management system, chases time entries before billing, and prepares meeting files. All work is supervised by an attorney, and the assistant never gives legal advice.

What tasks does the assistant own?

  • Calendar management around hearings, depositions and filing deadlines entered by the firm
  • Client intake scheduling and conflict-check request routing (attorneys run the check)
  • Time-entry reminders and pre-bill draft collation for partner review
  • Matter file organization and document naming in the DMS
  • Travel for trials and mediations
  • CLE tracking and bar-renewal reminders

What are the guardrails?

  • No legal advice and no communication of legal conclusions to clients
  • Deadlines are calculated and confirmed by attorneys; the assistant calendars and reminds
  • Access limited to assigned matters; privileged material handled under firm policy
  • Supervision by a responsible attorney, consistent with ABA Model Rule 5.3

Which tools do they use?

  • Clio
  • MyCase
  • PracticePanther
  • NetDocuments
  • Microsoft 365
  • Outlook

Your assistant works in your accounts with their own user.

How is success measured?

  • Calendar conflicts caught before they happen
  • Time entries submitted before billing cut-off
  • Intake response time

Common questions

Can a remote EA see privileged documents?

Only under the firm's supervision and confidentiality policies, with access limited to the matters they support. ABA Model Rule 5.3 makes lawyers responsible for supervising non-lawyer assistants.

Will the assistant docket court deadlines?

They can enter and track deadlines the firm has calculated and confirmed. Calculating deadlines stays with attorneys or the firm's docketing staff.
